Giving your client a portal login

What this is

The client portal is how a brand you fulfil for checks its own stock and orders without phoning you. They sign in to CanShip with their own login and see only their own data. There is no second system to run and nothing to install.

What your client can see

  • Their own inventory, orders and shipments, for the clients you assign them to and nothing else.
  • Tracking numbers and carriers on their shipments.

What your client cannot see

  • Your shipping costs. The Cost column is not present in the client view at all. What you pay a carrier, and what you charge for it, stays yours.
  • Any other client. A login sees only the clients it is assigned to.
  • Your account settings. Warehouses, locations, carriers, users and billing are not theirs to reach.

Create the login

  1. Go to Settings > Users and click Invite User.
  2. Enter your contact’s Email.
  3. Set the Role to Customer.
  4. Send the invite. They get an email to set their own password.

Assign them to their client

A Customer login shows nothing until it is assigned to at least one client.

  1. On Settings > Users, find the person and click Edit.
  2. Use Assign to Clients to pick the client or clients they should see. Each one appears as a chip you can remove later.
  3. Click Save.

The Users list then shows their assigned clients in the Assigned Clients column, so you can check at a glance who can see what. Settings > Clients shows the same relationship from the other direction, with a Customer Logins column against each client.

One login, several clients

A single Customer login can be assigned to more than one client. That is useful when one person manages several brands you fulfil for, since they sign in once and switch between them rather than juggling logins.

Removing access

To take a single brand away, open Edit and remove that client chip. To cut off access entirely, use Deactivate on the user row. Deactivating keeps the record and its history rather than deleting it.

What can go wrong

  • Your client signs in and sees nothing. The login almost certainly has no client assigned. Check the Assigned Clients column on Settings > Users.
  • They can see a brand they should not. Open Edit and remove the chip for that client. Access is driven entirely by that list.
  • They ask about a cost figure. They are not seeing one from CanShip. The client view has no Cost column, so any figure they quote came from you or from their own records.
